How many map folks out there run mixed facilities – meaning you have
mostly open stacks in your unit, but some special locked cabinets full
of rare/fragile/valuable items in a corner or in a back room?
** Yes, we do.

How do you differentiate the spaces and do you have different access
policies
for these two collections?
** The maps in the open stacks are on the mezzanine level and have no
padlocks.  The padlocked maps are on the main library level.  They are
differentiated in the catalog by location - either Map Cases (open
stacks) or Locked Map Cases (closed).  The open stacks maps may be
looked at by going upstairs and browsing.  The locked cases must be
paged by a staff member, not a student, only when a staff member is
here.  We then check it out the patron for in house use only.

I’d love to see your handouts that instruct patrons on procedures, but
I’d especially like to see any internal written procedures and policies
you may have.
** We don't have these, it is all word of mouth training.

Patron procedures include: How many items at once may a patron utilize
** This is on a patron by patron basis. I would be willing to check out
more to a faculty member than to a student.  I would hesitate to pull
out more than half a dozen at a time.  The librarian on duty would
decide these things at the time of request.

Topics include written instructions to staff on how and where to store
things while they await processing, how they are transported around the
facility, how you keep track of things that went to the conservation
lab, how and where to mark them, and other related items.
** We do all of this and for some we have written procedures and for
others we've been doing them so long we just do them.  I'd be happy to
talk to you over the phone about it rather than typing a ton of stuff.
** Things will change radically in 2015 when we open the David Rumsey
Map Center and all of our historical cartographic material will go
there.  The room will be run like Special Collections with very strict
protocols for all of this and all written down.  We'll be developing all
of those procedures in the next year.  Too late for your purposes, I
suspect.
