Ag Teachers

The 2016-2017 school year has begun for most of you, and the busy FFA schedule will be cranking up soon. This message contains some important information regarding FFA membership for the 2016-2017 year, so please review this information carefully.

First, remember that to be eligible to participate/compete above the chapter level, a student must be on the FFA roster.

Timeline for submitting FFA members
The AgEd enrollment & FFA roster system is now open for you to submit students for FFA membership.

• October 17:       Deadline for each teacher to have all course enrollment for the first semester updated
                              in the Georgia AgEd online system. (FFA members and AgEd only students)

                              Deadline to be considered for 100% membership recognition (all dues and roster must
                              be submitted by October 17)

• March 31:        Deadline for each teacher to have all course enrollment for the entire year updated in
                              the Georgia AgEd online system. (FFA members and AgEd only students)

                              Deadline to be considered for 100% membership recognition (all dues and roster must
                              be submitted by March 31)

NOTE: If you plan to Affiliate (See Affiliation information below) you must declare Affiliation BEFORE submitting students for FFA membership!

Submitting FFA Members
To submit agricultural education students for FFA membership, teachers should use the Georgia AgEd/FFA website. Each student must have their profile updated (SAE, graduation year, courses, etc…) to be eligible for FFA membership. Once a student’s profile is updated, they can be “submitted” for FFA membership. Once a student is submitted for FFA membership, they are considered an FFA member through August 31, 2017. A student who is submitted for membership cannot be removed partially through the membership year. To begin updating student profiles, and submitting FFA membership, follow the directions below.

• Login to www.georgiaffa.org and then sign in to your teacher profile
• Find the vertical menu bar on the left side and look for “Student Enrollment” link
• On student enrollment link begin updating profiles of returning students and add profile for new students (top left, “Add New Entry”)….OR
• Set a chapter student access code (left side menu bar) that will allow each student to login using the code and update/create their own profile.
• When students are ready (profiles updated and complete), click on “FFA roster” in the left side menu bar; then look at the list on the far right. Each student who shows up as “pending” is ready to be submitted. Each student has a box beside their name. Each box that is checked will be submitted for FFA membership when you click the “submit pending membership” button. If you don’t want a student to be submitted for FFA membership, be sure to remove the check mark from beside their name.

Please keep in mind that while you may submit students for membership now, the state Association cannot begin submitting students for national membership until after September 1. Once the national FFA membership process opens, and once we receive your chapter dues/affiliation payment, we will process members on for national membership.

Dues –vs- Affiliation
Again this year each local FFA chapter has the option to pay for FFA membership either through a person-by-person dues, or through the chapter Affiliation structure. A description of each is below, and a fee schedule for the Affiliation process is attached. It is important that you remember that if you choose to Affiliate, you must declare Affiliation on our Georgia AgEd/FFA roster site BEFORE you submit students for FFA membership.

Dues option
This is the traditional option of paying a set dues of $11 per head ($4 for state and $7 for national). Chapters who choose this route will be charged $11 per student that they submit as an FFA member. Students can be expected to pay the chapter for these dues plus any local dues that the chapter deems necessary to operate.

Affiliation option
This is an option that allows a chapter to pay one set fee based on their total program enrollment of Agricultural Education classes. Paying the appropriate fee makes every student in the AgEd program an FFA member. Affiliation fees are set on a tier basis, and the tiers are in sets of 25 (i.e. 101-125, 126-150, 151-175, etc…) Each tier has a set fee. Chapters are expected to identify which tier will allow them to account for every student (unduplicated) that is enrolled in agricultural education classes for the school year. If a chapter is on a block schedule, they need to have their number of different students for both the Fall and Spring semesters. By declaring Affiliation, a chapter is committing to having an alternative funding source, not charging the students any money for dues.

In order to Affiliate, one teacher in the program should login in to their Georgia AgEd account and go to their roster/enrollment pages. Look in the left side menu for the Affiliation Declaration link. Click on that link and identify the proper tier for your chapter (remember, every student – all year long). Once you declare a tier, an invoice for your chapter fee will be generated immediately and posted to your chapter account. Once your chapter has declared Affiliation, the rest of the process of submitting students for FFA membership is the same. You will complete student’s information and submit them for membership. The difference is that your chapter will not receive an invoice each time you submit students. The invoice happens one time; immediately after you declare. Invoices, Payment & Receipts
Invoices for FFA membership will be generated online and posted in the advisors profile “account balances” once Affiliation is declared or each time members are submitted. Teachers should go to their “account balances” page to print invoices.

Payment should be made to the Georgia FFA Association and mailed to the address below.

Once payments are received, receipts will be posted in the “account balances” section of each teacher’s profile. Click on “account balances” and look for a PDF of the receipt.
