April,
I am not using RDA (yet), so I cannot answer that question. Here in
the Geography & Map Division of the Library of Congress, we are putting
the links for the digital images we create in the same records as for
the original items. We have found this is very useful, as the patron
only get's one record and can go immediately to the surrogate from the
bibliographic record. There are enough fields identifying that there is
a digital surrogate so that we can separate those records with scanned
images from those without scanning. There are arguments that support
both views, but we have found that for items we have scanned, having the
links in the record for the original item is the least confusing.
If the scans were from another source than LC, we would have to
consider if that was the appropriate method. Not a question that has
arisen yet. The closest we have come is for items in our Joint Civil War
presentation, but the bibliographic records for the materials from the
State Library of Virginia and the Virginia Historical Society are not in
our cataloging system.

Hi everyone
I haven't been in a position yet (I hope I will at some point) to
dig very deeply into the changes RDA will make relevant to map
cataloging--although I have Mary and Paige's upcoming book on
pre-order with Amazon--but I am wondering about Rick's comment that
in RDA you are not supposed to make one record for multiple formats.
Given the ever increasing number of digital surrogates appearing for
printed maps, for reasons including improved access, security and
conservation, I wonder about the reasoning behind breaking the link
between the original and the surrogate, which this rule seems to
suggest. On one hand I can understand wanting to be able to search
only for digital manifestations, but on the other it seems to be
doing a disservice to users to make them search twice to find out if
there is a surrogate that they may find easier to use.
Any discussion?
Thanks.

Angie,
I always make the changes you've mentioned after I've
imported the
record into my system. I never alter other people's records
in OCLC.
But that's just me. I don't know if there is a rule one way
or the
other about making such changes in OCLC. I never had to worry
about it.
As time passes, there's one more thing you'll want to keep an
eye out
for. As more and more catalogers abandon AACR2 and records are
created
in RDA, your example will not apply. In RDA you're not supposed
to make
one record for multiple formats. So if you have a record for
a paper
map, you shouldn't tweak it to also include information and
links to the
digital map. You'll need to create a totally separate record,
with all
the fields adjusted for the digital map alone. If you're
institution is
using RDA. Even if the digital file on your screen is a scan of
a paper
map you have in your hand, the 2 formats should be
represented by 2
catalog records in RDA. Now if your institution is still using
AACR2
and not RDA, then what you want to do is OK. But if you
happen to
import an RDA record, and your institution is willing to mix
AACR2 and
RDA in their catalog, then your procedures will change depending
upon
which cataloging rules apply. Hope this makes sense.
If anyone takes issue with what I've just said, let me know.
This
change over, from AACR2 to RDA can be a bit much.
Thanks,
Rick Grapes

Subject: Cataloging question - adding urls to OCLC records
Hi Everyone,
Are there any guidelines or rules about adding the urls to
records from
your institutions digital collections to OCLC records done by
other
institutions? So, for example, I copy cataloged a map adding my
holdings
to a record done by DLC, I put the map in my digital collection
and I
put a 530 and 856 in the DLC record.
Good? bad?
Angie
